Terms and conditions


Please familiarise yourself with our terms and conditions before making a booking. Before starting an exercise or wellbeing session, please ensure you have read and understand our disclaimer below.


You will need Adobe Acrobat Reader to download many of the documents on our website. If you do not have this software on your computer, you can download it for free from Adobe. When linking to this site, please do so within a new browser window, never within the frame of another site.


Use of VIA is provided by Denman College, a linked charity of the National Federation of Women’s Institutes (NFWI), and is subject to the following terms and conditions:


1. Your use constitutes acceptance of these terms and conditions as at the date of your first use of the site.


2. The NFWI reserves the right to change these terms and conditions at any time by posting changes online. Your continued use of this site after changes are posted constitutes your acceptance of this agreement as modified.


3. You agree to use this site only for lawful purposes, and in a manner which does not infringe the rights, or restrict, or inhibit the use and enjoyment of the site by any third party. In addition, you must:

    • use the site for information purposes only, for reproduction for personal use only and not for reproduction on any other website or for commercial gain.
    • notify and seek the approval of the NFWI to any intended links to the website prior to making such links.
    • not copy, store in a retrieval system or transmit in any form or by any means any part of the website to any third party without the written permission of the NFWI.


4. This site and the information, names, images, pictures, logos regarding or relating to the NFWI and VIA are provided "as is" without any representation or endorsement made and without warranty of any kind whether express or implied. In no event will Denman College, or the NFWI, be liable for any damages including, without limitation, indirect or consequential damages, or any damages whatsoever arising from the use or in connection with such use or loss of use of the site.


5. The NFWI does not warrant that the functions contained in the material contained in this site will be uninterrupted or error-free, that defects will be corrected, or that this site or the server that makes it available are free of viruses or bugs or represent the full functionality, accuracy and reliability of the materials.


6. Copyright restrictions: Commercial use or publication of all or any item displayed is strictly prohibited without prior authorisation from the NFWI. The WI and VIA logos are registered trademarks. Use of the logo by an unauthorised person is strictly forbidden. Documents may be copied for personal use only on the condition that copyright and source indications are also copied, no modifications are made and the document is copied entirely. However, some documents and photos have been published on this site with the permission of the relevant copyright owners (who are not the NFWI). All rights are reserved on these documents and permission to copy them must be requested from the copyright owners (the sources are indicated within these documents/photographs). Unless otherwise stated all images are copyright of the NFWI.


7. The website may contain links to websites operated by parties other than the NFWI. Such links are provided for your convenience only. The NFWI does not control such websites and is not responsible for their contents. The NFWI’s inclusion of links to such websites does not imply any endorsement of the material on such websites or any association with their operators. You are solely responsible for evaluating the accuracy and completeness of any information contained on the third-party websites, and also the value and integrity of any goods and services offered by such websites.


8. Whilst the NFWI makes all reasonable attempts to exclude viruses from the website it cannot ensure such exclusion and no liability is accepted for damage caused through the downloading of viruses. Therefore, you are recommended to take all appropriate safeguards before downloading information from the website.


9. The NFWI reserves the right to vary the prices of any goods or services listed without notice. All orders for goods and services are subject to availability and the NFWI reserves the right to refuse to supply goods to any individual.


10. Although the website uses encryption security software in areas where online payment details are accepted, the security of information and payments transmitted via the internet cannot be guaranteed. Any loss incurred or sustained by you when transmitting information by means of email or other internet links shall be borne solely and exclusively by you and in no event shall any such loss in whole or in part be borne by the NFWI or its agents.


11. The NFWI shall not be held to be in breach of its obligations hereunder nor liable to you for any loss or damage which may be suffered by you or any third party due to any cause beyond its reasonable control.



Cancellation policy

Course cancellations

We make every effort to run courses as advertised. However, there may be occasions when we have to change course content, prices and/or hosts. VIA reserves the right to make these changes. In such instances, no reductions or refunds are available and the normal cancellation policy applies.


Free courses: There is no need to notify us if you can’t attend. Remember that you can book the course recording if you would like to catch up later.

Paid courses: Please contact us to request a refund. Cancellations must be requested more than 72 hours in advance to receive a refund. Please note that our WI Meeting Packages are non-refundable.

Training courses: Please contact us if you are unable to attend so that we can offer your space to someone on the waiting list.


Please contact VIA@nfwi.org.uk as soon as possible if you require a refund or are unable to attend a training course.


Subscription cancellations

Only those courses that are booked and take place during an active, paid subscription period are included within that subscription. Courses can be booked at any time, however if a course takes place outside of a paid subscription period, that course will not be covered and must be paid for separately, unless the subscription is renewed and active at the time the course takes place.


Following the initial purchase of a monthly or annual subscription, you have a 14-day period in which to cancel the subscription and request a refund. Where a cancellation and refund are requested within this period, the subscription will be cancelled; any courses booked during the 14-day period will not be covered by the subscription and must be paid for separately,

Monthly and annual subscriptions to VIA renew automatically; it is the user’s responsibility to cancel their subscription if they do not wish it to continue.


WI membership cancellations

Free access to VIA is provided throughout the duration of a paid, annual WI membership. If your WI membership is not renewed annually, your access to VIA will be withdrawn and payment will be required for any future course bookings, unless you choose to take out a paid VIA subscription.



Subscription policy

Where access to courses is provided through a monthly or annual subscription, only those courses that take place during the active, paid subscription period are included within the subscription. Any courses booked or delivered outside of the relevant subscription period will not be covered and must be paid for separately, unless the subscription is renewed and active at the time the course takes place.

Some courses, including but not limited to premium courses, fall outside the subscription status and will be clearly advertised as payable for all.


Monthly and annual subscriptions to VIA renew automatically; it is the user’s responsibility to cancel their subscription if they do not wish it to continue.

Age requirements and safeguarding

  • You must be aged 18 or over to create a VIA account.
  • Learners under the age of 18 may only access VIA when accompanied and supervised by a responsible adult account holder.
  • By creating an account, you confirm that you meet the age requirement or that you are acting as the responsible adult supervising an under-18 learner.
  • Responsible adults are fully accountable for the participation and conduct of any under-18 learners using their account.
  • All users must engage respectfully and appropriately at all times and comply with the NFWI's Safeguarding Policy (please refer to Other policy documents section).
  • The majority of live sessions will be recorded and available to book through the Recorded Courses category; by using VIA, you consent to such recordings in accordance with our privacy and safeguarding policies.
  • Any breach of safeguarding expectations may result in removal from sessions or suspension of access.



Disclaimer for online exercise and wellbeing sessions on VIA

Before participating in any online fitness sessions with VIA, please carefully read and understand the following disclaimer. By joining and engaging in our virtual exercise and wellbeing sessions, you acknowledge and agree to the terms outlined below:


  • Health and medical considerations: It is recommended that you consult with your physician or healthcare provider before starting any new fitness program.
  • You should not participate in online fitness courses if you have any existing health concerns, injuries, or medical conditions that may be aggravated or worsened by physical activity.
  • Assumption of risk: Engaging in physical activities, including online fitness sessions, involves inherent risks of injury. By participating, you voluntarily assume all risks associated with such activities.
  • Responsibility: The Hosts of the online fitness sessions are not medical professionals, and their advice is not a substitute for professional medical guidance, diagnosis, or treatment.
  • Individual responsibility: Participants are responsible for ensuring that their chosen exercise or fitness routine is appropriate for their fitness level and health condition. If at any time during the session you feel discomfort or pain, it is your responsibility to stop and seek appropriate medical attention if necessary.
  • Technical considerations: Participants are responsible for ensuring that they have a safe and suitable space for physical activity. It is also essential to use equipment as instructed, wear suitable footwear where required, and to follow guidelines provided by the Hosts.


By participating in the online fitness sessions, you release the organisers, Hosts, and any affiliated parties from any liability for injuries, damages, or other claims that may arise during or after participation. By participating in our online fitness sessions, you confirm that you have read, understood, and agree to this disclaimer.


VIA is brought to you by Denman College, a linked charity of the National Federation of Women’s Institute (NFWI) and therefore operates in accordance with all NFWI policies and procedures.
